Thank you for your continued patience and for the many inquiries the Rugby Ontario staff have received regarding access to the new registration platform. We recognize how critical timely access is for planning your seasons, opening registrations and managing club operations.

Over the past several weeks, Rugby Ontario has been working intensively with Rugby Canada and the new service provider, PlayHQ, to test the system, validate functionality and ensure it is ready to support clubs and members effectively. This has been a thorough and ongoing process, and while progress has been made, our focus remains on opening a platform that limits any material risk for our members.

We want to share that recent discussions with Rugby Canada and PlayHQ, and through laser-focused leadership from Myles Spencer, Nicole Kovacs and John Hyland, have resulted in additional support and resources being immediately committed specifically to Rugby Ontario, including:

  • Dedicated personnel assigned to our implementation;
  • Enhanced technical and operational support; and,
  • Increased assistance for clubs and registrants during onboarding and launch.

These supports are now being formalized and integrated into a revised implementation approach.

What to expect next:

  • Over the next few days, we will confirm the immediate next steps and timing based on system readiness and support availability.
  • We will follow up with a clear update on system access timelines, onboarding resources and what clubs should expect in advance of opening registrations.
  • Once access is provided, clubs will receive ongoing guidance, training materials and defined support channels to assist with the transition.

We are actively working with PlayHQ’s leadership to get confirmation of an opening date to allow clubs to go live.  Once confirmed, Rugby Ontario will endeavour to communicate this to all clubs at the earliest opportunity.

We appreciate that this has been a challenging and uncertain period. Please know that our decisions and actions are guided by a responsibility to protect clubs, volunteers and members, and to ensure that the system you are asked to use is ready to support your work. The Board is especially appreciative of the substantial amount of diligence our staff have applied to this implementation process.
